Committee role descriptions

Commodore duties include:
- To lead the Club effectively.
- Take the Chair at General Meetings and meetings of the General Committee. To chair the Flag Officers Meeting.
- To be a member of the General Committee and an ex-officio member of all other Committees and working parties.
- Represent the public face of the Club in the sailing and local communities.
- Exercise general oversight of the culture and tone of the Club, including the maintenance of conduct.
- Monitor implementation of policy and long-term development plans.
- Succession plans for Flag Officers and General Committee.
- To hear appeals under the Staff Disciplinary and Grievance Procedures.
Rear Commodore House duties include:
- To be a member of the General Committee and Staff Sub-Committee, and to chair the House Committee. To ensure that the House Committee has a balanced membership approved by the General Committee and this committee should provide for effective succession and enable the Rear Commodore House to assist in the selection of his successor. To attend the Flag Officers Meeting.
- To liaise with the Secretary and other members of staff and Officers on matters regarding the bar and catering functions, social programme, including social aspects of sailing events, and the maintenance and development of the Clubhouse in so far as it affects catering and social aspects of the Club.
- To be responsible for the tone and culture of Club organised social events and the Club’s social programme. To formulate through the House Committee the social programme, to book music and arrange associated event decorations within the Clubhouse. Be responsible through the House Committee for the Flower Rota, the provision of floral decorations and the maintenance of the garden area and tubs to the front of the Clubhouse.
- To be responsible through the House Committee for the range, quality and pricing, in line with parameters set by the General Committee, of food and drink supplied in the Club, subject to the approval of the General Committee in respect of prices set for alcoholic beverages.
- To agree with the Treasurer the annual House budgets to be submitted to the General Committee.
- To concern him/herself with the work and welfare of the Steward and Catering Manager and their staff, and the Deputy Secretary and Admin staff in relation to the delivery of the implementation of bar and catering policy and delivery of the social programme, in order to support the Secretary in exercising his/her line responsibility for staff.
- Liaise with Rear Commodore Sailing to ensure appropriate “House” support for sailing events.
Rear Commodore Sailing duties include:
- To be a member of the General Committee and to chair the Sailing Committee. To be a member of the Staff Sub-Committee. To attend the Flag Officers Meeting.
- To ensure the membership of the Sailing Committee represents the various sailing interests and provides for effective succession. To nominate Captains of Cruising, Racing, Juniors and Heads of Sections; as necessary for appointment by the General Committee, and to assist in the selection of his successor.
- To oversee the work of Class Captains and resolve conflicts of interest between them.
- To formulate the sailing programme and liase with the Secretary and his staff on matters regarding its execution.
- To agree with the Treasurer the annual sailing budgets to be submitted to the General Committee.
- To determine through the Sailing Committee the charges for use of the crane, dinghy parks, pontoon berths (dinghies) and race entry fees, so as to cover at least the costs of these services and events, when considered in total.
- To be responsible for the tone and culture of Club organised sailing events, the Club sailing programme and the balance between Club events and external class, national and international events.
- Identification of sponsorship opportunities and their effective development and control.
- To support the promotion of the Club as a venue for Class, National and International sailing events.
- To concern himself/herself with the work and welfare of the Head Boatman and his/her staff and the Deputy Secretary and Sailing/Admin Secretary in relation to the delivery of the sailing programme in order to support the Secretary in exercising his/her line responsibility for staff.
- To liase with Rear Commodore House to ensure appropriate “House” support for sailing events.
- To represent the Club as appropriate at meetings of outside bodies (local area sailing associations, etc)
- To encourage and support the training and involvement of member volunteers to help with sailing events and to facilitate the co-operation of such volunteers and Club staff.
- Act as a point of contact for members wishing to raise issues relating to sailing events or the Club’s support of yachting generally.
- To hear appeals under the Staff Disciplinary and Grievance Procedures
Treasurer duties include:
- To be a member of the General Committee and to chair the Finance Sub-Committee, providing for effective succession and a balance of expertise. To attend the Flag Officers Meeting.
- To control the Club’s liquid assets and manage the Club’s financial affairs including insurance and ensuring that adequate books of account and records are maintained. To direct the long term financial
strategy of the Club, including maintenance of appropriate reserves. - To liaise with the Secretary, Deputy Secretary and Accounts Secretary on matters regarding the management of the Club’s accounts.
- To concern her/himself with the work and welfare of the Deputy Secretary and Accounts Secretary in relation to the bookkeeping and accounting functions in order to support the Secretary in exercising his/her line responsibility for staff.
- Oversight of the IT system and the Lottery.
- Ensuring that the final accounts are compiled and the audit completed in time for the accounts to be circulated to Members in time for the AGM.
- To ensure that viable budgets for the current year and next following year are always in place and understood by Flag Officers, Secretary and General Committee.
- To hear appeals under the Staff Disciplinary and Grievance Procedures.
Vice Commodore duties include:
- To deputise for the Commodore in his/her absence.
- To be a member of the General Committee and an ex-officio member of all other Committees and working parties. Attend the Flag Officers Meeting and generate the agenda and notes.
- Chair the Membership Sub-Committee, Staff Sub-Committee, the Strategy Sub-Committee and ad hoc working parties.
- Responsibility for initiating development plans and proposals plus possible funding.
- To act as the principal point of contact between the General Committee and the Secretary, and to support the Secretary in his/her implementation of policy and staff supervision.
- To be responsible for member discipline, including compliance by Members with the Rules and Regulations, and the resolution of disputes between Members.
- To hear appeals under the Staff Disciplinary and Grievance Procedures.
This voluntary role is central to the delivery of the RYA Volunteer Plan. This is a new and exciting development for volunteering. It is expected that the valuable contributions from Club Volunteer Coordinators will be central to its success. Although the title is new, it is likely that people in your club have carried out a similar role previously.
The key purposes of a Club Volunteer Coordinator are:
- To maximise volunteer participation within the land-based and waterbased areas of club activity.
- To develop Club Volunteer Action Plans to guide and support the recruitment, retention, reward and development of the volunteer base within your club.
- To facilitate effective communication between your club and Regional Volunteer Coordinator.
In practical terms, what will I be expected to do?
How you achieve the key purposes of the role will be up to you essentially.
However, the types of activities you may be undertaking are:
- Ensuring that the volunteer base within your club is appropriate to its needs.
- Providing the main contact point supporting volunteer recruitment and retention in your club.
- Attending the inaugural regional Club Volunteer Coordinator meeting in your region.
- Providing advice about volunteering and on the day-to-day use of the volunteer website to your club members.
- Providing feedback to your Regional Volunteer Coordinator about volunteering in your club and the use of the RYA volunteer web site.
How much time should I expect to invest in the role?
Because this is a developmental role, during the set up period your initial contribution may be in the region of 1-2 hours per week. Once Club Volunteering Action Plans are in place then the time commitment may decrease but you will determine this. It is anticipated that initially Club Volunteer Coordinators will commit to staying in the post for at least one year.
How much support will I get?
During the year you will receive on-going support from your Regional Volunteer Coordinator and the RYA Regional Committee
This is a central role. How will I know how I am doing?
You will be invited to attend a regional inaugural event in your region. This will be your opportunity to network and share experiences with other Club Volunteer Coordinators. This will also be a forum for you to provide feedback on how you can be further supported within your region in relation to volunteer recruitment, retention, reward and development. Further details will be provided when you start.
What personal attributes would you expect the ideal Club Volunteer Coordinator to have?
- Confident communicator with the desire and motivation to promote volunteering opportunities to the wider community.
- Ability to organise them self and others effectively.
- Good administration skills.
